A similar appearance does not establish interchangeability. Compare manufacturer identifiers, revisions, dimensions and mounting interfaces against documentation.
Consider the installed assembly
Review the assembly as well as the individual component. The model and serial number help establish the actual configuration installed on site.
Agree substitutions
When an alternative item is considered, identify who will approve its applicability. Record the agreed parameters and documentation before procurement.
Connect items and records
The part number in the specification, marking and accompanying documents should identify the agreed item. Resolve ambiguity before dispatch.
